The four-places problem
You invite people. Some reply on WhatsApp. Some text. Two call your mother instead of you. One tells you in person at a supermarket and you forget by the time you get home. A week later you are trying to reconstruct a guest list from memory and a scroll-back.
Then the restaurant asks how many, and how many of those are vegetarian, and how many children need a high chair. And you say you will confirm tomorrow, and you spend the evening counting.
One link, one place
Send everyone the same link. They open it, say whether they are coming, say how many people are in their party, pick their meals, and it lands in one dashboard. No app, no account, and importantly no sign-up screen — a lot of your guest list is not going to create an account to attend a birthday.
Family-sized replies
One reply covers a whole household, with the number of adults and children.
Meals sorted
Vegetarian, vegan, halal, gluten-free, allergies and child meals, counted for you.
Live count
Open the dashboard any time and see exactly where you stand.
Free for most parties
Up to 400 replies costs nothing. Most family parties never get close.
Parties this suits
- Milestone birthdays — fortieth, fiftieth, sixtieth, and the ones where the guest of honour is not supposed to know
- Wedding anniversaries — silver, ruby, golden, with the family scattered across time zones
- Baby showers and naming ceremonies — where the count and the dietary list both matter
- Retirement parties — colleagues and family on separate lists, invited to different parts
- Graduation dinners — restaurant bookings that need a firm number days ahead
- House warmings and reunions — anything where an accurate headcount saves money
If it runs over two days
Plenty of milestone celebrations are not a single sitting. There is a lunch on the Saturday for close family and a bigger evening for everyone else, or a temple visit in the morning and a dinner at night.
You can list each part separately and invite different people to each. Guests see only the parts they were invited to, and you get a count for each rather than one blended number that helps nobody. If that is your situation, the multi-day event page goes into more detail.
Surprise parties
If the party is a surprise, the last thing you want is a public page the guest of honour might stumble onto. Keep the event unlisted and share the link only with the people you invite. Nothing about the event is advertised or indexed.
Practical tip: name the event something dull in your own messages. "Sunday lunch" has ruined fewer surprises than "Dad's 60th Surprise Party".
Getting people to actually reply
Roughly a third of any guest list ignores the first message. Hloo Events writes both the invitation and the reminder for you, in English or Hinglish, and you send them from your own WhatsApp so they arrive from a number people recognise.
The dashboard shows who has not replied, so the reminder goes to the nine people who need it rather than to everybody again.
Questions people ask
Is this really free for a birthday party?
Yes. Up to 400 replies costs nothing, and that covers almost every family party. You only pay if you want unlimited replies or the extra Pro features.
Do my relatives need to download an app?
No. The link opens in whatever browser is already on their phone. That matters when a good part of the guest list is older and not interested in installing anything.
Can one person reply for their whole family?
Yes. A single reply can cover a household, with the number of adults and children and a meal choice for each.
Can I keep a surprise party actually surprising?
Yes. The event is not listed publicly or indexed by search engines. Only people you send the link to can see it.
Can guests change their answer?
Yes, right up until you close the RSVP. Family plans change, and your count changes with them.
Can I get a list for the restaurant?
Yes. Export a CSV with names, party sizes and meal choices and send it straight to the restaurant.
