Your name on it, not ours
This is the part that matters most and it is the part planners ask about first. On the Ultimate Planner plan, every guest page and every client dashboard carries your business name, your logo and your contact line. Not ours. Your client sees your brand from the invitation through to the final headcount, and has no particular reason to learn that we exist.
You are not reselling somebody else's software with a badge on it. As far as the couple is concerned, the system is yours. That is worth more to your business than any feature in the list below, which is why it is at the top of the page instead of buried in a comparison table.
White label is included with Ultimate Planner — CAD 199. It is the one thing the free and single-event plans do not have.
What breaks when you run events for other people
Managing your own event is a spreadsheet. Managing five for clients is a different job. The failure modes are specific:
- Client A's guest list ends up in client B's export, which is the kind of mistake that costs you the referral
- Every caterer wants the numbers in a slightly different format, on a different day
- The client wants to see progress without being able to break anything
- Three events hit their catering deadline in the same week and you are counting by hand at midnight
None of that is solved by a better spreadsheet. It is solved by keeping each event genuinely separate while you look at all of them from one place.
How Ultimate Planner works
Your branding throughout
Your name, logo and contact line on every guest page and client dashboard, in place of ours.
Up to 5 events
Concurrent client events, each fully separate from the others. In India the same plan covers 8.
Isolated guest lists
No shared pool. A guest on one event cannot appear on another by accident.
Per-event exports
Clean CSV per event, per function, ready to forward to that event's caterer.
Full question set
Meals, transport, accommodation, drinks and custom questions on every event.
No vendor marketplace
Events under a planner account never show our vendor directory to your client. We do not advertise your competition to the people paying you.
Start free, before you decide anything
The free plan runs one real client event, up to 500 guests, with the function-wise attendance and meal counting switched on. No card, no sales call, no waiting for us to approve anything — you sign up and the event is live.
Use it on an event you are actually running. If it does not save you an evening, you have lost nothing. If it does, the second client event is the point at which Ultimate Planner starts paying for itself — and that is also where your own branding switches on.
Giving clients visibility without giving them control
Clients want to know how it is going. What they usually do not want, and should not have, is the ability to edit the guest list at 2am and undo your work.
You can share the live counts with a client so they can watch replies arrive, while the setup, the lists and the exports stay with you. It removes the "how many so far?" message without creating a second cook in the kitchen.
Multi-day events are the normal case
Most events worth hiring a planner for run across more than one day, which means one attendance number is useless. Each function needs its own count, and often its own guest list.
Hloo Events was built around that shape rather than having it bolted on. Full detail on the multi-day event page, and if your work is mostly weddings, the South Asian wedding page covers the function structure in more depth.
Finding vendors you have not worked with yet
Inside your dashboard there is a directory of photographers, caterers, decorators and DJs, filtered by city. The star ratings on it can only be left by planners and hosts who actually contacted that vendor through Hloo Events, so a rating means somebody picked up the phone rather than somebody typed an opinion.
Your clients never see this. It is a tool for you, on your side of the wall.
The kind of work this fits
- Wedding planners juggling several weddings in one season
- Corporate event agencies running conferences and parties for multiple clients
- Venues and banquet halls collecting counts on behalf of the hosts they book
- Caterers who would rather send a link than chase a client for numbers
- Community and religious organisations running a recurring calendar of events
If you need more than 5 concurrent events, message us on WhatsApp and we will work something out. Payment is by Interac e-Transfer in Canada or UPI in India.
Handing over at the end
When an event finishes, the client usually wants the data — the final list, who came, what they ate. Export it as CSV and hand it over. It is a clean end to the engagement and it costs you nothing to produce, because it was collected properly in the first place.
Questions people ask
Can I white-label it for my agency?
Yes, on Ultimate Planner. Your business name, your logo and your contact line replace ours on every guest page and every client dashboard. Your client deals with your brand from the invitation to the final headcount.
How many events can I run at once?
Up to 5 concurrent events on Ultimate Planner, each fully separate, with its own guest lists, functions and exports. In India the same plan covers 8. Need more than that? Message us and we will work something out.
Can I try it before paying?
Yes. The free plan runs one real client event with up to 500 guests and no card. It goes live the moment you sign up — nothing waits for our approval.
Can a client see the numbers without editing anything?
Yes. You can share live counts with a client while keeping setup, guest lists and exports under your control.
Is there any chance of guest lists mixing between clients?
No. Events do not share a guest pool. A guest added to one event exists only inside that event.
Will you advertise other vendors to my clients?
No. Events created under a planner account never display our vendor directory to the client. You are the one selling those services to them, and we are not going to compete with you inside your own event.
What happens when an event is over?
You export the final data as CSV and hand it to the client. The event can then be closed out and the slot used for the next one.
What if I only run one event a year?
Then Ultimate Planner is the wrong plan. The single-event plan covers one event with unlimited guests and the full question set, and the free plan may well be enough on its own.
