Terms of Service

These terms are an agreement between you and Hloo Events. By creating an event, signing in, or using any part of the service, you accept them. If you do not accept them, please do not use the service.

1. WHAT HLOO EVENTS IS

Hloo Events is an online guest management tool. You create an event, send a link to your guests, and they reply from their own phone. The service collects RSVPs, counts attendance function by function, totals meal preferences, and exports lists you can hand to a venue or caterer.

Hloo Events is software. We are not an event planner, caterer, venue, or travel agent, and we do not take responsibility for how your event runs.

2. WHO MAY USE IT

You must be at least 18 years old, or the age of majority where you live, whichever is higher. You must be able to enter into a binding contract.

You may use Hloo Events for your own event, or on behalf of a client if you are an event professional. If you use it for a client, you confirm you have their permission to hold the guest information you put into it.

3. YOUR ACCOUNT

You are responsible for what happens under your account and for keeping your host link and password private. A host link works like a password: anyone who has it can open your dashboard. Do not post it publicly.

Tell us at event@hloo.in as soon as you believe someone else has access to your account.

We may create your account and event immediately on signup for free plans. Paid plans are activated once payment is confirmed.

4. GUEST INFORMATION - THE IMPORTANT PART

When you use Hloo Events you are putting other people's information into our system: names, phone numbers, email addresses, meal preferences, and sometimes travel or accommodation details.

That information belongs to your guests, and you are the one responsible for it. In legal terms, you are the controller of that data and we process it on your behalf and on your instructions.

This means:

You confirm you have a proper basis to collect and share your guests' details with us - normally that you know these people and are inviting them to your event.

You will not upload lists of people who have no connection to your event, and you will not use Hloo Events to send marketing to anyone.

You will answer any request a guest makes about their own information. We will help you do that, but the guest's relationship is with you, not with us.

We will not sell your guest list, rent it, market to it, or use it to promote anything of our own.

5. WHAT YOU MAY NOT DO

Do not use Hloo Events to send spam, chain messages, or any unsolicited marketing.

Do not upload anything unlawful, abusive, hateful, sexually explicit, or that infringes somebody else's copyright.

Do not attempt to access another person's event, dashboard, or data. Do not probe, scan, or test the security of the service.

Do not resell access to Hloo Events, or present it as your own product, unless you are on a plan that includes custom branding and you are using it for your own clients.

Do not use automated tools to scrape the site or to create events in bulk.

If you do any of these, we may suspend or close your account without notice and without a refund.

6. PLANS, LIMITS AND FEATURES

Each plan has its own limits, shown on the pricing page at the time you sign up. Limits currently include the number of guests an event may collect, the number of events an account may run, and which features are switched on.

The guest limit counts people, not replies. One reply covering a family of four counts as four.

When an event goes past its guest limit, replies past the limit are still counted in your totals, because you have to cater for people who actually replied. What is withheld is the detail of who they are, until the plan is upgraded.

We may change plans, limits, features and prices. Changes apply to new purchases. If you have already paid for an event, the plan you paid for continues to apply to that event.

7. PAYMENT

Prices are shown on the pricing page. Depending on where you are, prices may be shown in your local currency; the amount you actually pay is the amount confirmed at the time of purchase.

Payment is made by Interac e-Transfer, UPI, or another method we tell you about. Access to a paid plan is activated after payment is confirmed, which is normally within one business day.

Payments are one-time, per event or per plan as described. There is no automatic renewal and no subscription is taken from your card, because we do not store card details at all.

Prices do not include any taxes that may apply where you live, unless stated.

8. CANCELLATION AND REFUNDS

Refunds are covered by our Refund and Cancellation policy, which forms part of these terms.

9. AVAILABILITY

We work to keep Hloo Events running, but we do not promise it will be available without interruption. Hosting, internet providers, and third-party services can fail, and maintenance sometimes requires downtime.

We are not liable for losses caused by the service being unavailable. For anything time-critical - a final headcount for a caterer, a seating plan on the morning of an event - export your data and keep your own copy. The export button exists for exactly this reason.

10. YOUR CONTENT

You keep ownership of everything you put into Hloo Events: your event details, your guest lists, your photos, your text.

You give us permission to store, copy and display that content only so far as is needed to run the service for you. We do not claim any other rights in it.

We may remove content that breaks these terms.

11. OUR CONTENT

The Hloo Events software, design, text and branding belong to us. You may not copy them, other than using the service in the normal way.

Where your plan includes custom branding, you may display your own name and logo to your clients and guests in place of ours. That permission applies to your own events only, and ends when your plan ends.

12. THIRD PARTIES

Hloo Events runs on infrastructure we do not own, and connects to services we do not control - including our hosting provider and, if you choose it, Google sign-in. Their own terms apply to their part of the arrangement.

The vendor directory lists businesses that are independent of us. We are not party to any agreement you make with them, and we do not guarantee their work. Ratings shown on the directory are left by people who contacted that vendor through Hloo Events; they are opinions, not endorsements by us. A listing marked as Featured is a paid placement and is labelled as such.

13. LIMITS ON OUR LIABILITY

Nothing in these terms limits liability that cannot be limited by law, including for death or personal injury caused by negligence, or for fraud.

Subject to that, Hloo Events is provided as it is, without warranties of any kind. We do not warrant that the service will meet your requirements or that it will be error-free.

To the fullest extent the law allows, we are not liable for indirect or consequential loss, loss of profit, loss of business, or loss of data. Our total liability to you for any claim is limited to the amount you paid us for the event or plan the claim relates to, in the twelve months before the claim arose. If you are on a free plan, that amount is nil.

14. YOU PROTECT US

If somebody brings a claim against us because of how you used Hloo Events - for example a guest complaining about how their information was handled by you - you agree to cover the reasonable costs of dealing with it.

15. SUSPENSION AND CLOSING YOUR ACCOUNT

You may stop using Hloo Events at any time, and you may ask us to delete your event and its data. See the Privacy Policy for how that works.

We may suspend or close an account that breaks these terms, that we reasonably believe is being used unlawfully, or that puts the service or other users at risk.

If we close your account for a reason that is not your fault, we will refund any unused portion of what you paid.

16. CHANGES TO THESE TERMS

We may update these terms. The date at the top shows when they last changed. If a change is significant, we will make a reasonable effort to tell you. Continuing to use the service after a change means you accept the updated terms.

17. LAW AND DISPUTES

These terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply in it. The courts of Ontario have jurisdiction, except that if you are a consumer resident elsewhere, you keep any rights to bring a claim where you live.

Before going to court, please write to us at event@hloo.in. Most problems can be settled in an email.

18. GENERAL

If any part of these terms is found to be unenforceable, the rest continues to apply.

If we do not enforce a term straight away, that does not mean we have given it up.

You may not transfer your rights under these terms to somebody else without our agreement. We may transfer ours if the business is sold, provided your rights are not reduced.

These terms, together with the Privacy Policy and the Refund and Cancellation policy, are the whole agreement between us about the service.

Privacy Policy

This policy explains what information Hloo Events holds, why, and what you can do about it. It covers two different groups of people, and it matters which one you are.

If you are a HOST or PLANNER, you signed up and you decide what goes into your event. We hold your information for you.

If you are a GUEST, somebody invited you. They chose to put your details into Hloo Events. We hold that information on their behalf, not for our own purposes. Your first point of contact is the person who invited you, though you can always write to us and we will help.

1. WHO WE ARE

Hloo Events is operated from Ottawa, Ontario, Canada. You can reach us at event@hloo.in or on WhatsApp at +1 613 801 2858.

2. WHAT WE COLLECT FROM HOSTS AND PLANNERS

When you sign up: your name, email address, and phone number if you give one.

When you build an event: the event name, dates, location, function details, invitation text and any images you upload.

If you sign in with Google: your name and email address as Google provides them. We do not receive your Google password and we do not get access to your Gmail, contacts or files.

If you are on a plan that includes custom branding: your business name, logo and contact line.

If you pay: the reference you send with the transfer. We do not see or store card numbers, because payment is made outside the site by e-Transfer or UPI.

Automatically: your IP address, browser type and the pages you visit, in ordinary server logs.

3. WHAT WE COLLECT ABOUT GUESTS

Only what the host asks for and the guest chooses to give. Typically:

Name, and the names of the people coming with them.
Whether they are attending, function by function.
Meal preference - for example vegetarian, non-vegetarian, or Jain.
Sometimes a phone number or email address, so the host can follow up.
Sometimes accommodation, travel or drinks preferences, if the host switched those questions on.
Any message the guest writes in a free-text field.

A guest does not need an account and does not set a password. They reply through a link.

4. WHY WE HOLD IT

To run the service you asked for: to show your event page, collect replies, count meals and produce your export.

To keep your account secure and to prevent misuse.

To contact you about your own event or account - for example to tell you a signup came in, or that something has changed.

To take payment where a paid plan is involved.

To meet legal obligations, and to keep records of what was agreed.

We do not sell personal information. We do not rent or share guest lists. We do not use guest data to advertise anything, ours or anybody else's.

5. WHO ELSE SEES IT

Our hosting provider, Hostinger, stores the site and its database on servers we rent. They do not use the data.

Google, if you choose to sign in with Google, confirms who you are.

Vendors listed in the directory only ever receive what you send them yourself when you press a contact button. Pressing that button records that a contact happened, so that ratings can be limited to people who actually got in touch; it does not send the vendor your guest list.

We may disclose information if the law requires it, or to establish or defend a legal claim.

If the business is ever sold or transferred, information may transfer with it, and this policy would continue to apply until the new owner published its own.

6. WHERE IT IS HELD

On servers operated by our hosting provider. Depending on the data centre, this may be outside your own country, including outside Canada, the European Economic Area or India. Where information is transferred internationally, we rely on the protections our providers have in place.

7. HOW LONG WE KEEP IT

Event data - guests, replies, counts - is kept while the event is active and afterwards, so hosts can look back at what happened. Many people want their guest list a year later.

If you ask us to delete an event, we delete it and its guest data.

Account records and payment references are kept for as long as we need them for tax and accounting purposes.

Server logs are kept for a short period and then rotate away.

8. COOKIES AND LOCAL STORAGE

We use cookies only for things the site cannot work without: keeping you signed in, remembering which event dashboard you have open, and protecting forms against cross-site request forgery.

We use your browser's local storage to remember small preferences - your chosen theme, your chosen currency. That stays in your browser and is never sent to us.

We do not use advertising cookies and we do not run third-party tracking pixels on the site.

9. YOUR RIGHTS

Depending on where you live, you may have the right to ask for a copy of the information we hold about you, to have it corrected, to have it deleted, to object to how it is used, or to withdraw consent you previously gave.

To exercise any of these, write to event@hloo.in. We will respond within a reasonable period and in any case within the time the law allows.

If you are a guest, we will usually pass your request to the host who invited you, because the information is theirs, and we will make sure it is acted on.

If you are in Canada and you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada. If you are elsewhere, you may complain to your local data protection authority.

10. SECURITY

Passwords are stored hashed, never in plain text. The site is served over HTTPS. Access to the database is restricted.

Host links are deliberately long and random, and they work like a password: anybody who has one can open that dashboard. Treat yours accordingly and do not post it publicly.

No system is perfectly secure. We cannot guarantee absolute security, and we ask you not to put anything into an event that you would not want a guest to see if a link were forwarded.

11. CHILDREN

Hloo Events is not intended for children to sign up. A host may include children as guests - a family RSVP normally does - and that information is treated the same as any other guest information.

12. CHANGES

We may update this policy. The date at the top shows when it last changed. If a change is significant we will make a reasonable effort to tell hosts about it.

Refund & Cancellation

We would rather have a happy customer than a payment we should not have kept. This policy is meant to be readable and to be applied in that spirit.

1. THE FREE PLAN

The free plan costs nothing, so there is nothing to refund. You can use it for as long as you like, and stop whenever you like.

2. WHEN YOU CAN GET A FULL REFUND

You can ask for a full refund within 7 days of paying, as long as the event has not started being used - meaning no guest has submitted a reply yet.

That is the fair line. Before the first reply arrives, you have not really had the service. After it, you have: the invitations went out, the guests replied, and the counting happened.

To ask, email event@hloo.in from the address you signed up with, mention your event name, and say what went wrong. We do not need a long explanation.

3. AFTER REPLIES HAVE STARTED

Once your event has collected replies, the plan is not refundable, because the work it was bought for has been done.

Two exceptions:

If the service was substantially broken for your event and we could not fix it in time, tell us and we will refund you. We would rather do that than argue about it.

If you were charged twice, or charged for something you did not order, we refund it in full, always, whenever you notice.

4. IF YOUR EVENT IS CANCELLED OR POSTPONED

Postponed: nothing needs to happen. Your event, your guest list and your replies stay exactly where they are. Move the dates on your dashboard and carry on. There is no extra charge for a new date.

Cancelled before any replies came in: full refund under section 2.

Cancelled after replies came in: we will not normally refund, but write to us. We would rather move your plan to a future event than keep money for something that is not going to happen.

5. UPGRADES

If you upgrade partway through - for example from Pro to Ultimate Planner - you pay the difference, not the full price again.

We do not downgrade with a partial refund partway through an event, because the higher plan was in use while the event was running.

6. IF WE CLOSE YOUR ACCOUNT

If we close your account because you broke the Terms of Service, no refund is due.

If we close it for any other reason, or if we stop offering the service, we refund the unused portion of what you paid.

7. HOW REFUNDS ARE PAID

By the same route the payment came in. An Interac e-Transfer is returned by e-Transfer, a UPI payment by UPI.

We process refunds within 5 business days of agreeing one. How long it then takes to appear depends on the banks involved, and is out of our hands.

8. CHARGEBACKS

If something has gone wrong, please write to us before raising a dispute with your bank. We will almost always sort it out faster than they will, and a dispute freezes the account while it is open.

RESPONSE TIME
We answer within one business day, and usually faster. If your event is within 48 hours, send a WhatsApp message rather than an email and say so in the first line - we will move it to the front.

WHAT TO INCLUDE
Your event name and the email address you signed up with. That is enough for us to find you.

PAYMENTS
Interac e-Transfer for Canada, UPI for India. Details are shown on the pricing page and confirmed when you order. We never ask for card numbers, and we will never ask you for a password.

PRIVACY REQUESTS
Send to event@hloo.in with "Privacy" in the subject line. If you are a guest at somebody's event rather than the host, say whose event it was, and we will make sure the request reaches them and is acted on.
